Health & Safety Policy

1. Policy Statement

Aslan Academies is committed to ensuring the health, safety and welfare of:

  • All children attending our provision

  • Staff and volunteers

  • Visiting parents and carers

  • Members of the public

We recognise our duty under the Health and Safety at Work etc. Act 1974 and are committed to providing a safe environment in which children can learn, participate and thrive.

The safety and wellbeing of children is our priority.

2. Responsibilities

Directors

The Directors of Aslan Academies are responsible for:

  • Ensuring compliance with health and safety legislation

  • Implementing safe systems of work

  • Ensuring staff are properly trained

  • Reviewing this policy annually

  • Ensuring appropriate insurance is in place

Staff & Coaches

All staff must:

  • Take reasonable care of their own health and safety

  • Take reasonable care of the children in their supervision

  • Follow risk assessments

  • Report hazards immediately

  • Record accidents and incidents

  • Maintain professional conduct

Health & safety is everyone’s responsibility.

3. Risk Assesments

Aslan Academies ensures:

  • Risk assessments are completed for all venues

  • Activity-specific risk assessments are in place (e.g. sports activities, equipment use)

  • Hazards are identified and mitigated

  • Risk assessments are reviewed regularly

When operating within schools, we work alongside the school’s existing risk assessments.

4. Supervision & Ratios

We ensure:

  • Appropriate supervision ratios based on age and activity

  • Clear boundaries and class structure

  • Staff remain actively supervising at all times

  • No child is left unattended

Children are registered at the beginning of each session and dismissed safely.

5. First Aid & Medical Information

  • At least one member of staff present holds a valid First Aid qualification (where required).

  • Emergency contact details are accessible during sessions.

  • Relevant medical information is recorded securely.

  • Incidents requiring medical attention are recorded and reported to parents and the school (if applicable).

If emergency services are required, parents and the school will be contacted immediately.

6. Accident Reporting

All accidents and incidents:

  • Are recorded in an accident log

  • Are reported to parents where necessary

  • Are reported to the school when sessions take place on school premises

Where applicable, incidents are reported under RIDDOR (Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013).

7. Equipment Safety

We ensure:

  • Equipment is appropriate for age and activity

  • Equipment is checked before use

  • Damaged equipment is removed immediately

  • Safe storage procedures are followed

Children are instructed in safe use of equipment.

8. Fire Safety & Emergency Procedures

When operating in schools:

  • We follow the school’s fire evacuation procedures

  • Staff are aware of assembly points

  • Registers are taken during evacuation

  • Staff supervise children until safe

In community venues, emergency exits are identified before sessions begin.

9. Behaviour & Safety

Unsafe behaviour increases risk.

  • We maintain:

  • Clear behaviour expectations

  • Structured class management

  • Immediate intervention if unsafe conduct occurs

  • Communication with parents and schools where necessary

  • Persistent unsafe behaviour may result in removal from sessions.

10. Manual Handling

  • Staff are trained to:

  • Use safe lifting techniques

  • Avoid unnecessary heavy lifting

  • Seek assistance where required

  • Children are not expected to lift heavy equipment.

11. Slips, Trips & Hazards

Staff ensure:

  • Floors are clear of obstacles

  • Equipment is safely positioned

  • Spillages are reported immediately

  • Suitable footwear is worn for activity

12. Safeguarding, Health & Safety

Health and safety forms part of our safeguarding commitment.

We ensure:

  • Appropriate supervision

  • Professional boundaries

  • Safe physical contact guidelines

  • Secure sign-in and sign-out procedures

13. Insurance

Aslan Academies maintains:

  • Public Liability Insurance

  • Employer’s Liability Insurance (where applicable)

  • Professional Indemnity Insurance

Insurance documentation is available upon request.

14. External Visits & Events

For trips or external activities:

  • Additional risk assessments are completed

  • Parental consent is obtained

  • Emergency contacts are carried

  • Adequate supervision is provided

15. Illness & Infection Control

To protect health:

  • Children who are unwell should not attend sessions

  • Staff follow school illness guidance

  • Basic hygiene practices are encouraged

  • Equipment is cleaned regularly

16. Monitoring & Review

This policy is reviewed annually or sooner if:

  • Legislation changes

  • An incident requires review

  • Operational changes occur

Aslan Academies takes health and safety seriously. We complete risk assessments, maintain appropriate insurance, ensure qualified staff supervision, and work closely with partner schools to provide a safe and structured environment for all children.
